Refund
We at Kids On Track strive to provide an enriching and enjoyable experience for all participants. Please review the following refund policy regarding cancellations and refunds for our day camps.
(1) Cancellation and Refund Requests
Refund requests for a day camp must be submitted in writing and received at least 7 days before the day camp’s start date.
Refund requests for an overnight camp must be submitted in writing and received at least 14 days before the overnight camp’s start date.
A $20 administrative fee will be charged for approved cancellations.
A refund request does not guarantee a refund. Each request will be evaluated on a case-by-case basis.
(2) Refund Eligibility
Refunds will not be permitted due to weather conditions or changes in field trips or activities. We make every effort to provide alternative activities of the same nature in the case that weather or other factors outside of our control create the need to change the program activities that day.
Participants who are removed from the program due to behavioural issues will not be eligible for refunds.
Partial refunds due to a child/youth missing days or parts of days for illness or appointments will not be permitted.
On a case-by-case basis, we may consider allowing the fee to be moved to another day camp spot depending on availability.
(3) Refund Processing
All refund requests will be reviewed on a case-by-case basis.
Submitting a refund request does not automatically guarantee a refund.
Decisions regarding refunds will be at the discretion of Kids On Track administration, not the on-site program staff. On-site program staff members will be unable to approve any requests.
Refunds will only include the fee originally paid by the participant minus the $20 administrative fee.
Refunds, if approved, will be issued in the original form of payment, or by cheque or e-transfer (on a case-by-case basis) within 14 business days of the approval.
(4) Exceptions
In exceptional circumstances such as medical emergencies, we may consider waiving the administrative fee or providing a partial refund. Please contact us directly to discuss such cases.

Please include the following:
i. Full name of parent/guardian requesting the refund.
ii. Full name of the child/youth.
iii. Date of day camp for which you are requesting a refund.
iv. Brief reason why you are requesting a refund.
v. If the date is past the 7 day notice period, please provide a brief explanation of your exceptional circumstance.
